IVC GATHER & GIVE GALA PROCEDURES

CHECK-IN

Welcome! Upon entering Kiana Lodge for the IVC Gather & Give Gala, you will be greeted by auction check-in volunteers. After checking in, please pick up your name tag. Bid numbers will be available at your table and on your table card. Note that members of a household will share the same bid number. This bid number will be used for:

  • Donating to the Giving Tree

  • Participating in the Dessert Dash

  • Bidding on Live Auction items

  • Making contributions during the Paddle Call

Giving Tree

The IVC Giving Tree features tags describing programs that help our care recipients socialize, eliminate isolation, and create joy. By selecting a Care Receiver activity and making a donation, you directly benefit an individual care recipient. Simply choose a tag, agree to donate the specified amount by writing your bid number on the tag, and deposit it in the basket. Your contribution will directly support our care recipients' enrichment activities.

Dessert Dash

The Dessert Dash is an exciting event where each table combines their bids to claim one of the delicious desserts. As you enter, tour the dessert area and note your favorites. Each person at the table writes down their contribution on the Dessert Dash bidding sheet, starting from $10.00. The sheets are then collected and tallied. The table with the highest total bid amount gets the first chance to dash to the dessert table and pick their preferred dessert. Strategize with your tablemates to secure your top choice!

Live Auction

When bidding, hold up your number toward the auctioneer. The live auction continues until all items are sold. If a group is bidding, designate one person to place your combined bid and arrange to pay that individual. Auction items are awarded to one purchaser only. A bid acknowledged by the auctioneer is a legal contract to purchase the item.

Paddle Call

During the Paddle Call, the auctioneer will announce various donation levels. To contribute, simply raise your paddle when your desired amount is called. Your paddle number will be recorded, you can raise your bid number multiple times and participate at multiple levels. 

Item Pickup:

Winners will receive a certificate for their won items on the night of the auction. Guests may take home any physical items won that evening. If you cannot pick up a physical item on event day, please schedule an appointment by contacting the IVC office at 206-842-4441.

Invoicing:

For those paying by check, winning bidders will receive an emailed invoice within 3 to 5 days after the auction closes.

Payment:

For your convenience, we provide an Express Pay option so that you may pre register your credit card on the website or at the event which allows for automatic check out. We gladly accept cash, check, MasterCared, American Express and Visa. By providing your credit card information you are giving IVC permission to charge that credit card for all purchases and donations made during IVC’s Gather & Give Gala and agree to pay the credit card issuer pursuant to their terms. The credit card will be charged within 3 to 5 days after the auction closes. Buyers will receive an electronic receipt after the sale concludes.

To arrange payment via a Check, IRA or Donor Advised Fund, please indicate this preference when purchasing your ticket on the website. Otherwise, contact Michele Blackford at info@ivcbainbridge.org. At the event, guests paying by check, IRA, or DAF should confirm their payment method at check-in time.


TERMS OF SALE

General Terms:

All sales are final; no exchanges or refunds are allowed. Photos are for illustrative purposes only. IVC reserves the right to remove any item from sale. Services and certificates must be used within one year of the event, unless otherwise noted. All items and services are subject to the terms and conditions of the donors.

Item Conditions:

Items are sold “AS IS˝ and “WITH ALL FAULTS.˝  IVC does not make any expressed or implied  warranties or guarantees on auction items regarding quality or value of items. Descriptions, genuineness, authorship, provenance, or condition of items are not guaranteed.




Reservations and Travel:

Reservations for trips and vacation accommodations must be arranged with the donor. No refunds will be allowed on travel packages for canceled tickets and/or accommodations. IVC is not responsible for travel arrangements unless noted otherwise. Coordination of items (e.g., hotel, caterer) is the responsibility of the item buyer with the designated contact person.

Liability:

The buyer waives any claim for liability against IVC, its officials, members, employees, sponsors, volunteers, and donors. Neither IVC nor the donor is responsible for personal injuries or damage from the use of property or services.

CERTIFICATES AND VOUCHERS

Envelopes with certificates or vouchers for tangible and intangible items will be distributed on the night of the event. Check the certificates for conditions, restrictions, and expiration dates on items and services. Restaurant certificates or gift cards typically exclude tax and gratuity. Please be aware, some may have date restrictions.

TAX INFORMATION

The catalog lists the fair market value of each item. Amounts paid above the fair market value may be tax-deductible. Consult your tax advisor. IVC will email a payment receipt after the auction.
